LawVu's AI-Powered Billing Guidelines Review is a smart, automated solution designed to streamline and enhance your legal invoice review process.

It automatically analyzes invoice batches against your billing guidelines and approved timekeeper rates—flagging discrepancies in real time.

This powerful tool acts as your digital assistant, eliminating the need for time-consuming manual reviews and helping ensure you're only paying for what was agreed upon. Here are some key benefits:

  • Speed up the invoice review process while avoiding unnecessary charges.

  • Instantly identifies non-compliant charges, including discrepancies of billing guidelines and use of unapproved timekeepers.

This feature is currently only available to those clients who are part of the AI-powered Billing EA Program. If you'd like to be part of this program, reach out to your Customer Success Manager (CSM).

Setting up AI-powered Billing Guidelines for your organization

Before you begin, you can review the AI-Powered Billing Guidelines Beta Services Terms.

Once enabled for your organization, an Administrator can upload billing guidelines and timekeeper rates for each Legal Service Provider (LSP). Here’s how:

1. Navigate to Settings > Legal Service Providers.

2. Select the Legal Service Provider you want to set up the billing guidelines for from the list.

3. Upload your own guidelines, or download the LawVu template to customize based on your organization’s needs.

4. Upload your approved timekeeper rates as a separate document.

Once uploaded, use the three-dot menu to manage files—download, email, rename, replace, or delete them.

How Billing Guidelines apply to invoices

When an LSP submits invoices, the AI automatically reviews them against your uploaded guidelines and timekeeper rates—flagging any discrepancies and adjusting totals before approval.

To review the invoices:

  1. Go to Inbox / Actions

  2. Go to the Invoices tab

What you’ll see in each invoice batch:

  • LSP details

  • Total batch value

  • Number of flagged discrepancies (hover to view discrepancy types)

  • Adjusted total for payment

You can toggle discrepancies on or off. Toggling a discrepancy off is equivalent to accepting it.

From here, you can click into each batch to review the individual invoices:

✅ Approving or ❌ Declining Invoices

You have flexible approval options:

  • Approve the entire batch: Click the green checkmark.

  • Decline individual invoices: You can approve some and decline others.

If you decline an invoice, the detected discrepancies will auto-populate the decline comment. You can edit the comment to add more context before submitting.

🔔Legal Service Provider Notifications

After an invoice batch is reviewed—whether approved, declined, or partially approved—a notification is automatically sent to the Legal Service Provider (LSP), summarizing the outcome.

Who gets notified?

Any LSP user with "Manage Invoices" permission will receive the notification.

What the notification includes:

  • Number of invoices approved and declined

  • Total amount approved for payment

  • Details of declined invoices, including flagged discrepancies and required adjustments

  • A “View in LawVu” button that takes the user directly to the invoice batch for further review

Here’s an example notification where four invoices were approved and one was declined:

Note: Invoices created from time entries will not have billing guidelines applied.

🔔AP Team Notifications

Your finance team is also notified after invoice review.

Their notification includes:

  • Total amount approved for payment

  • Approver’s name

  • Invoice IDs

  • Any adjustments made

  • Original invoice files

  • Tax info and provider ID (for syncing with your financial system)

Billing Guidelines Reporting

The Billing Guidelines Spend Report gives you visibility into:

  • Common billing discrepancies

  • Value saved from discrepancies

  • Use of unapproved timekeepers

  • Average rate increases

  • Firm-by-firm comparisons
