Setting up Billing Guidelines for your organization
Implementing billing guidelines provides a structured approach to managing relationships with external legal service providers. It ensures high-quality, cost-effective services by establishing clear expectations around billing, staffing, and compliance. This will help your organization set clear operational boundaries with external counsel.
How to get started
Once the feature is enabled for your organization, an Administrator can set the Billing Guidelines for your organization by following these steps:
1. Navigate to Settings > Legal Service Providers.
2. Select the Legal Service Provider you want to set up the billing guidelines for from the list.
3. Upload your billing guidelines or download the LawVu template and adjust it based on your organization's requirements.
The LawVu template provided by default is designed to assist you in building billing guidelines for your Legal Service Providers (LSPs). While it serves as a helpful framework, itβs important to customize it by adding comments, making changes, and tailoring it to fit the specific needs of your organization. Below is a breakdown of its main sections
4. Once uploaded, you can download, email, rename, replace, or delete the document.
How Billing Guidelines apply to invoices
When an invoice is posted for approval, the Invoice Detail Modal highlights any insights, violations, or differences in comparison to the billing guidelines uploaded by the administrator for the LSP. This helps approvers quickly review and address any issues before approval.
Each violation is marked in red and linked to its location in the invoice for easy review.
Approvers can toggle violations on or off. Toggling a violation off is equivalent to accepting it.
Declining Invoices
Approvers can decline invoices with unresolved violations. When an invoice is declined:
The selected violations are automatically included in the decline comments for clarity.
Approvers can edit these comments before submission, providing additional context or details if necessary.
Once the invoice is declined, a notification will be sent to the Legal Service Provider, informing them of the decision and reasons behind it.
Note: Invoices created from time entries will not have billing guidelines applied.
