LawVu's Box integration allows legal teams to streamline their document management processes and work more efficiently while maintaining security and compliance.
In this article:
Requirements
What you'll need before getting started:
- Admin access to your Box account
- Your Box Enterprise ID
What LawVu will provide:
- A dedicated user profile within LawVu to test the integration
- A "client ID' from our implementation team to add to your box admin, apps section
Setting up the integration
Within Box, navigate to the Admin Console, choose Apps, and open the Custom Apps Tab:
Add a new app using the "+" button.
LawVu will provide you with a Client ID. Enter the Client ID:
Then, authorize the Custom App:
Your LawVu app will now appear in your Custom Apps list:
Within the admin area in Box, choose Account & Billing. Here, you'll find your Enterprise ID. Send this to your LawVu contact:
LawVu will configure the integration in LawVu and send you a login name that can be used to share your top-most folder with LawVu. Once this is done you can map matters in LawVu to folders in Box.
You'll need to stipulate the topmost folder, or "root" folder, that needs to be shared with the LawVu platform. In the LawVu interface, when forming a link between a Matter and Box, this will be the topmost folder from where users can create, or navigate for existing folders.
How to sync files with Box
Whether you're working within a Matter or a Contract record, use LawVu's filing structure as normal. Find out more about files and folders here.
To sync and merge your files and folders with a new or existing box account. Go to the Files tab within the matter and click on "Sync files" and select Box integration from the options.
When opening the Box dialogue, you'll land within your box folder library. From there, simply navigate to the folder or sub-folders you'd like:
Once a sync is formed, LawVu's box integration will support the following:
- Syncing of LawVu Files and Folders into Box
- Syncing of Box files and folders into LawVu
- Syncing of document renaming and new document versions, to and from Box and LawVu
To stop syncing or changing the folder, navigate back to the Sync Box icon and select change folder or stop syncing if you wish to.
Matter Folder Structure in Box
When setting up a Box sync, users should first create a dedicated parent folder in Box for the matter and then configure the sync to that folder. LawVu does not automatically create a matter-level folder in Box.
For example:
Recommended setup
Box
Matter A
Folder1
Folder2
This approach helps keep matter documents organized and makes it easy to identify which folders belong to which matter.
Important: We do not recommend syncing multiple matters to the same Box folder location. Doing so can result in folders and files from one matter appearing in another matter's synced structure.
For example, if Matter 1 and Matter 2 are both synced to the same Box folder:
Matter 1
Folder1
Folder2
Matter 2
Finance
Budget
Folder1 (from Matter 1)
Folder2 (from Matter 1)
To avoid this, each matter should have its own dedicated parent folder in Box.
Future enhancement
We plan to provide the ability to automatically create and manage matter-level folders based on configurable rules. When this functionality becomes available, LawVu will automatically create the parent matter folder as part of the sync setup process.
