Learn how to quickly save your email data, and create new matters/contracts using Gmail.

The LawVu Gmail add-on is designed for people who use Gmail and want to be able to save their email data into LawVu.

With the LawVu Gmail add-on, you can quickly and easily create new matters or contracts from your emails. You can also track email chains by automatically saving them in the Files Tab of your matters or contracts.

Track an email thread against Matter/Contract

The tracking option enables you to save email threads as Files in the Files Tab of existing or new matters/contracts.

A tracked email thread can only be saved into the Files Tab of a single matter. Tracking can be turned off and reinstated as required. As the email thread is saved into LawVu, every reply you make is saved as the current version of the file.

Select an email to turn thread tracking on and click Track thread against the Matter/Contract option. The first time you do this, you must grant permission for the LawVu add-on to read labels and start tracking.

You will see a list of your most recent matters and will also have the option to search for matters or create a new matter. Simply select the matter you want to save/track the emails to.

Once a matter is selected, you can choose a specific folder within a matter in which you want the email to be saved and then click Finish.

The below confirmation message will be displayed, and the email thread will now continue to automatically update with each new entry into the Files Tab of this matter.

A label will update on the thread indicating that it is being tracked along with the matter name and LawVu ID. If you wish to discontinue tracking, simply click the Untrack thread from the Matter option. Once you turn the tracking off, no new replies will be saved in LawVu.


Create a Matter or Contract starting from one of your emails

You can create matters or contracts directly from the LawVu Gmail add-on.

Select the desired email, open the LawVu add-on from the toolbar on the right, and click Add New.

To create a new matter, choose the relevant 'Matter Type' and then press Next.

Enter a name for the matter (LawVu will use the email subject by default, but you can change this if you wish). Once all the required matter fields are filled in, you can click Next to choose whether to track the thread or save the email within the Files tab of the matter. To create a contract, follow the same process as above, starting with "New Contract".

Please note that in order to create new contracts, your email must have an attachment.

Select the Contract File, fill in the Contract Group & Type, give it a new name (or keep the suggested one), and decide whether to track the thread, save the email as a file or the email attachment to Contract files. Click FINISH to complete the contract creation process.

During the matter or contract creation process, you should also be able to do Team assignments if your Org Admin has set the mandatory manual Team assignment process during the matter or contract creation.


Save in LawVu As

Another way to save an email is to use the Save in LawVu As option, which allows you to track the email thread or save the email as a file to a specific matter or contract.


Quick File to Matter

By using the Quick File to Matter feature, you can save an email to a matter in just a few clicks, making the process quicker and more efficient.

All you need to do is click on Quick File to Matter and choose the relevant matter, and the email will be promptly saved to the appropriate Matter files.


Restrictions on LawVu fields

It is important to note that due to restrictions within Gmail, we cannot include all of the custom fields that you might have associated with those matter types. Gmail maintains very tight parameters regarding the type of fields that can be utilized.

In particular, Gmail does not permit the use of our Multi-lookup field or the Person Selector field. If these fields are included in the matter or contract create forms, they will not be displayed during the creation process.

Your LawVu Administrator must ensure that these field types are not required.

If the data contained in these field types is essential, the matter/contract must first be created via the add-in, then those fields will need to be back-filled within LawVu.


Conditional logic

LawVu Administrators can configure intelligent intake forms for the Gmail add-in. When users create new matters or contracts using the add-in, the forms dynamically adjust to user input. This means that certain fields may appear or be hidden depending on the response given in a preceding field.

Once the add-on is installed, it will be visible in the sidebar of Gmail. Simply click on it to open and authorize it in order to start using it.
