Who can use this feature?

👤 Clients who have Workspace Plans with Organization Admin, In-house Legal, and Contributor user permissions

🔑 Needs the 'Full contract access' permission and the 'Manage Intake' permission

These are standard AI features included in the Essentials, Ultimate, and Matters plans. If you’re unsure which plan you’re in, contact your CSM.

In this article:


Enabling Workspace Intelligence

If you’re on an eligible Workspace plan, an Organisation Admin can enable Standard AI features in the LawVu website:

  1. Go to Settings > Workspace Intelligence in the left navigation.

Locate the Standard AI tile, review the AI T&Cs, accept them, and enable the features.

Once enabled, the Sparkle icon and Workspace Intelligence button will appear in the top navigation.

📌 Note: Only users with Intake Manager or Full Contract permissions will have access.


Matter Manager assignment suggestions

Matter Manager assignment suggestions help streamline the intake process by providing smart recommendations for assigning matters. This feature is available to users with the Manage Intake permission, typically Organization Admins or legal users.

This feature leverages AI to analyze historical data and suggest the most suitable matter managers based on workload, expertise, and past assignments.

You can access this feature from two places:

  • The Intake grid view

  • The Matter Details page (when the matter is in the Intake queue)

Follow these steps:

For each matter in the Intake queue, either from the Intake grid view or from the Matter details page:

a. Locate the matter in the Intake queue and click the Sparkle icon to open a modal displaying suggested matter managers.

b. Review up to three suggested managers, each with an explanation of why they were recommended.

c. Select a suggested manager and add a short note (optional).

If you prefer, you can ignore the suggestions, close the modal, and assign the matter using the usual steps.


The AI-powered suggestions are based on:

  • 12 months of historical matter assignment data to identify patterns specific to your organization.

  • Current matter owners and their workloads to ensure a balanced distribution.

  • Upcoming deadlines to factor in availability and capacity.


Contract AI features

The Contract AI features are available only to users with full contract access, such as Org Admins, In-House Legal, and Contributors. Standard users are excluded.

How AI Processing Works

When a contract document is processed, AI features are activated to extract key insights.

  • Processing Status – Displayed under the contract name on the Contract Details page. Processing typically takes about 5 minutes but may vary based on document size and system load.

  • Sparkle Icon – Disabled during processing and activates once complete. If an error occurs, a red icon appears with an error message.

  • Supported Document Types – AI processing supports PDF and Word documents (including Word Online).

Processing begins when:

  • A new contract record is created.

  • A new version of the contract document is uploaded.

  • A user views an unprocessed contract’s details page for the first time.

AI processing includes:

  • OCR (Optical Character Recognition) – Extracts text from scanned documents.

  • Content Segmentation – Breaks the contract into semantically similar sections.

  • Key Date Extraction & Content Enhancement – Identifies critical dates and refines contract insights.

We are continually improving Standard AI features, such as adding monetary data extraction.

Note: This AI processing is different from the AI-powered contract data extraction powered by Zuva, which focuses on preselecting specific fields.


Contract Summarization

Contract Summarization quickly extracts and presents the key details of any contract in a clear, consistent format. This helps streamline contract review and ensures that important information is easily accessible.

Key Details included:

  • Parties involved

  • Main purpose of the contract

  • Key terms and conditions

  • Relevant dates

  • Important clauses

How to request a summary

You can generate a contract summary using one of the following methods:

  1. Click the Sparkle icon and select “Summarize this contract”.

To revisit past summaries, click the Conversation History button in the top right corner of the Workspace Intelligence panel. This allows you to view previous conversations, each automatically named based on its topic for easy reference.

Contract Q&A

The Contract Q&A feature allows you to ask specific questions about a contract document, and AI will respond in natural language. This makes it easier to understand contract terms and key details without manually searching through the document.

How to access Contract Q&A


You can use this feature in three ways:

  1. Sparkle Menu – Select "Ask questions about this contract".

  2. After Contract Summarization – Ask follow-up questions directly in the same chat panel.

  3. Workspace Intelligence Button – Click the button in the top navigation to open a chat panel with starter prompts or type your own question.

With Workspace Intelligence AI, all questions are scoped to the current contract document. This ensures accurate and relevant responses.

Common questions from Early Access users:

  • Give me a thorough analysis of the liability in this agreement.

  • Give me a thorough analysis of the exclusivity in this agreement.

  • What is the liability amount? And what is the maximum?

  • What is mentioned about contract renewals and termination? Provide a thorough analysis.

  • What is mentioned about Force Majeure? Conduct a thorough analysis and provide a considered response.

  • What are the obligations…

  • What are the main risks in this contract?


Key dates extraction

During document processing, AI automatically extracts key dates such as the effective date, executed date, renewal date, and expiry date. It can also derive and infer time periods.

For example, consider the clause:

"This contract shall automatically renew at the anniversary date if not cancelled within 90 days of the anniversary date."

While this wording does not include explicit dates, the AI uses the effective date to determine the anniversary date and calculates 90 days prior to infer the cancellation deadline. This automation saves time, reduces costs, and enhances service for business users by minimizing manual review.

How to view extracted dates

  1. Open the Sparkle menu and select Suggest contract key dates

  2. A popup will display the dates on the left panel and a document viewer on the right panel.

  3. Clicking on a date will take you to the corresponding section of the document for easy review (currently available for PDFs, with Word document support coming soon).

You can update extracted text, select relevant dates, and click "Add dates" to save them to the Key Dates tab for the contract.

FAQ

Is this feature available to all customers?

Standard AI features are available to all customers on the Workspace Essentials, Ultimate, and Matters plans. If you’re not on one of these plans, contact your CSM to arrange a demo and discuss the best plan for your needs.

What's not included?

  • Contracts: Standard AI features only work on a single contract document. Searching across multiple contracts or the entire corpus is not supported. Additionally, AI processing is limited to the main contract document and does not include attached files.

  • Matters: Currently, the only feature available is Matter assignment suggestions for Intake Managers.

I’m concerned about data security, is Workspace intelligence private and secure?

LawVu has a company-wide compliance program that meets global information security and privacy standards, including ISO27001, SOC1, SOC2, HIPAA, and GDPR.

Your data is completely secure. Your data remains in your chosen Data Stack location at rest. We do not use your data or your prompts to train our models.

We use Azure OpenAI services to generate responses to your Workspace Intelligence requests. We use Azure Data Zones in the United States and European Union. For customers in these regions, your Workspace Intelligence AI requests are processed within your respective regions.

For customers outside of the United States and EU, we use one of these Data Zones to process your Workspace Intelligence AI requests. For customers in Australia, your requests are processed in the EU. For customers in Canada, it's the USA Data Zone.

Additionally:

  • All your User Data is still stored in your chosen Data Stack location in Azure

  • Only your specific AI requests are processed in the Data Zone region

  • Each AI request requires a small segment of your User Data to generate the outputs and responses from the AI features

  • All processing is transient, no data is stored, retained or used to train any models from these requests

  • Your data is always encrypted on route to EU Servers and back

Azure Data Zones allows us to ensure we can offer the latest Azure OpenAI models to you cost effectively.

Are there any controls over what data or information users will have access to?

Workspace Intelligence honors the same permissions that our Global Search feature does. Which means that users will only be able to see content and records that they have access to. Deleted content is also not searchable.

Are there any limits on how often Workspace Intelligence Standard AI features can be used?

Currently, there are no limits—you can use the features as often as you need.

What is the underlying tech?

Workspace Intelligence utilizes Microsoft’s Azure OpenAI Service. This service is provided from within our secure Azure ecosystem where customer data remains segregated and is not used to train any public models. LawVu operates a company-wide compliance programme that meets global information security and privacy standards, including ISO27001, SOC1, SOC2, HIPAA, and GDPR & CCPA. We are also aligned with the new ISO42001 standard for AI Management Systems and actively pursuing certification.

Due to the sensitive nature of our customers' use, LawVu has a full exemption from the standard terms allowing Microsoft to monitor use of their Open AI Service.

I didn’t get the answer I was expecting, what should I do?

In order to improve Workspace intelligence, we need your feedback. Which means if you get a response that you weren’t expecting or is incorrect, we need to know about it so we can improve the quality of the output. You can contact us via the Support menu at the bottom right of your screen.
