An overview of the Dropbox Sign (formerly HelloSign) integration and how to use it

Dropbox Sign enables secure online document signing and management, eliminating the hassle of printing, signing, and scanning physical documents. Users can electronically send out documents for signing and signatories can easily sign on their computer or mobile device with no need to create a Dropbox Sign account.

LawVu's native Dropbox Sign integration improves this even further, by providing an up-to-date view of signing progress in the signing panel, the ability to easily trigger reminders to outstanding signatories, and by automatically receiving the signed agreement back in LawVu once executed.

Set up

You will need to use your own Dropbox Sign account to set up and start using the Dropbox Sign integration in LawVu.

The integration can be enabled by a person with the Organization Admin role and is a simple process:

1 - Go to the Integrations icon and locate the Dropbox Sign integration:

2 - Then click on the Get started button.

3 - A small window will pop up and you can enable the integration but clicking the Enable Now button.

Enabling Dropbox Sign like this is the quickest way to get started, and by doing so, it will be assumed that you already have your own Dropbox Sign account.

Dropbox Sign supports the following file types: doc, docx, pdf, ppsx, ppt, pptx, jpg, jpeg, png, xls, xlsx, txt, html, and gif. If you’d like to use a file type that is not supported, save the file as a PDF file before uploading.

Notes:

  • A single file can't exceed 40MB.

  • A single request can't exceed 500 pages and/or 40 files.

Send for signing

To send a document for signing, click on the ellipses button next to the file or the Actions button if you have opened it in Preview.

If you are sending a contract, you'll be able to select 'Sign with Dropbox Sign' from the list of your existing integrations.

If you select 'Move to executed', the contract stage will update to Executed as soon as the recipients have signed.

Next, you'll be prompted to sign in with your Dropbox Sign account.

After uploading the document, you can add recipients to sign it and even set a signing order if desired.

To indicate where the signers should place their signatures, position the signature fields on the document. You have the option to add a CC recipient who will receive a signed copy of the document once all recipients have completed their signatures.

The recipients are notified via email once the document is sent out for signing. If you have set an order for signing, the recipients will be notified in the set signing order.


Check the status of your sent contracts

LawVu automatically updates the Signing panel (located on the right-hand side of your matter/contract) in real-time.

When you forward a document to Dropbox Sign, the Signing panel will reflect a "Created" status. Once you've sent the document for signing, the panel will update to display "Sent" and as the contract is signed by all recipients, it will display as "Completed", making it easy to track the progress of your documents.

From here, you can send reminders to your recipients, or void the envelope if needed.

If any of your intended signatories refuse to sign an agreement, it will be marked as Declined and effectively rendered void.

Once all recipients have signed, the document gets updated in LawVu, with the signed version becoming the current version of the document.

You also receive an email notification stating all the signers have signed the document.

Please note that these email notifications are sent by Dropbox Sign, not LawVu.

To check the status of your document in Dropbox Sign, go to your Dropbox account and click on "Documents." You can search for your document's name and see if it's been signed yet. If you need more options, like sending reminders or downloading the document, click on the three dots.
