Setting access for individual files
To manage file access, navigate to the Files tab of the relevant matter or contract, click the three-dot ellipsis button next to the file or folder, and select Manage Access.
There are three access levels available to control file visibility. Files and folders uploaded to LawVu automatically have a limited access level.
To see which colleagues have access to a file, hover over the people picker icon:
If you don't see the people picker icon next to a file or folder, its access is set to Limited. To view or change who can access it, click the three-dot ellipsis button next to the name and then select Manage access.
For Administrators: Setting the default file access by matter/contract type
As an Administrator, you can define the default file and folder access at the matter or contract type level in LawVu. This allows you to set access preferences once and have them applied consistently across all matters or contracts of that type.
To configure this, go to: Settings / Matter Management / Matter Types /Settings
Then scroll to Default file access.
The same process applies for contracts as well.
The change will apply to any newly created matter/contract types and any of the ones you are updating going forward.
If a default file access level is already set at the organisation level, it will continue to apply unless updated.
The three access levels
Access levels control who can see and edit files and folders in LawVu.
General
Anyone with access to the matter or contract - including Standard users and teams can view and interact with the files and folders.
Limited
By default, all files and folders uploaded to LawVu have Limited access. This allows visibility to any user with "full matter/contract access" permission who can access the matter or contract.
Standard users who upload files and folders are automatically granted visibility.
You can also add or remove other Standard Users (who are members of the record) as needed. Read this article for more information: File access for standard users
Restricted
Restricted access limits visibility to specified users or teams.
The person who sets the restriction is automatically added.
Additional users and teams can be added or removed as needed.
Folder access and inheritance
When you set a folder's access level, all the subfolders within it will automatically inherit that same access level.
However, if you have a subfolder with a Restricted access level, it will maintain its setting, even if the main folder is changed to Limited or General access.
How moving files and folders alters access
When you move files or folders to the top level, their access settings stay the same. They won't change.
When you move files or folders into another folder, they will inherit that folder's access level. For example, if the new folder is General access, the files you move into it will also have this access level.
This permission inheritance continues for any further nested folders.
