Roles and permissions in LawVu

An overview of roles and permissions

Every person who uses LawVu is assigned a role based on the work that they need to do within LawVu. Roles are different depending on whether you belong to an in-house legal team or to a legal service provider/law firm, and are assigned when people join LawVu.

The person with the role of Organization Admin / LawVu Administrator has the ability to change roles for people within their organization.

In this article:

New users added to LawVu or whose roles are updated will inherit a standard set of permissions described in the list below. Keep in mind these vary depending on their enabled licenses.


Roles and Permissions for In-house legal teams

Organization Admin

This person manages the LawVu account and decides how LawVu will be implemented within your organization. This role has access to all LawVu features and settings.

Inherent Permissions and Features (these remain turned on):

  • Invite new users and organizations

  • Manage user permissions, settings, and teams

  • Create matters

Other permissions and features available the Administrator can turn on/off (default for the Administrator role with a contract 'standard user' license)

In-House Legal

Inherent Permissions and Features: Create matters

Other permissions and features available (default for the In-House legal role with a contract 'standard user' license). These can be turned on/off by the Administrator:

Contributor

Inherent Permissions and Features: Create matters

Other permissions and features available (default for the Contributor role with a contract 'standard user' license). These can be turned on/off by the Administrator:

Standard User

Inherent Permissions and Features: Create matters ( cannot be turned off)

Other permissions and features available for Standard users for both matters and contracts (these can be turned on/off by the Administrator):

The Administrator can decide to switch on the other permissions as well, which will enable the Contract Contributor license and give Standard Users the ability to create contracts and/or full access to them.

Note: If you want users not to have full contract access, make sure you switch off the permission, not change the user role.


Roles and Permissions for Legal Service Providers (LSPs) / Law Firms

Organization Admin

Similarly, the assigned LSP organization admin manages and decides how LawVu will be implemented within the organization. This role has access to all LawVu features and settings available for LSPs.

Inherent Permissions and Features:

  • Invite new users and invite /accept invitations to collaborate with other organizations

  • Update user permissions and create, edit and update teams

  • Create matters

Other permissions and features available:

Matter Manager

Inherent Permissions and Features: Create matters

Other permissions and features available (these can be turned on/off by the Administrator)

Roles while working on a Matter or Contract

The global roles (listed above) will grant you access to work on matters - but there are also individual roles that can be applied when you are working on a matter.


​To access these roles just click on the 'Members' tab when working on a matter.

Delegate Owner

The person will be able to act for all intents and purposes as the original matter owner. They will be able to make modifications to and agree on the scope of the matter.

Delegate Manager

The person will be able to act for all intents and purposes as the original matter manager. They will be able to make modifications to and agree on the scope of the matter. They can adjust the access level of the members listed in the 'Members' tab. To learn more about delegates, click here.

Member

Any user can be added as a member to a matter, contract, or RFP. A member is able to edit the contents of matters and contracts (with the exception of Standard Users, who can only see the preview). Members can be added to Conversations, Tasks, and be assigned Actions. Members cannot engage in the scoping process unless either the Matter Manager or Matter Owner delegates their authority to that person.

The level of access and contribution of a member depends on the user license and permissions.

Preview Only

For Standard Users, the preview mode defines the extent of their access within LawVu. Standard Users are primarily concerned with checking on the status of the matters and contracts they have raised with their legal team. Preview mode enables them to do this.

Limited

The person will have read-only access to matter details. They can access the Files tab, where they can see files added by other users, as well as upload and delete their own files; Tasks, where they can see tasks assigned to them; and Conversations. Billing Only

This person cannot access the matter at all and can only upload invoices for billing.



Administrator Groups

Administrator groups provide access to all non-restricted Matters and Contracts within LawVu for individuals in the following roles:

  • Organization Administrators

  • In-House Legal

Note: Standard Users and Contributors cannot be added to Administrator Groups

Matter Administrators

Users listed in the Matter Administrator Administrator Group can see all Matters in LawVu, providing those matters are unrestricted. The Matters will appear in the "All Matters" List. These people can preview a Matter or choose to "Join Matter".

Note: Restricting a matter limits its access to those specifically named as Matter members, regardless of role, permissions, or administrator group.

Contract Administrators

Users listed in the Contract Administrator Administrator Group can see all Contracts in LawVu, providing those contracts are unrestricted. The Contracts will appear in the "All Contracts" List. These people can preview a Contract or choose to "Join Contract".

Note: Restricting a contract limits its access to those specifically named as Contract members, regardless of role, permissions, or administrator group.

Time Administrators

Users listed in the Time Administrator Group can see and amend all Time Entries submitted in LawVu. Click here to know more.

RFP Administrators

Users listed in the Time Administrator Administrator Group can see the complete list of their organization's current RFPs and have the ability to delete them
